Dakoda’s Dance Academy – Booking & Cancellation Policies

1. Agreement

By enrolling a student at Dakodas Dance Academy (“Dakodas”), the parent or guardian (“you”) agrees to these Terms & Conditions in full. These terms form a legally binding agreement between you and the Academy.

These terms are provided at the
point of enrolment and must be actively accepted before a place is confirmed.

2. Enrolment & Auto Re-Enrolment

2.1  Enrolment is made on a termly basis. Each term runs for the number of weeks published in the Dakodas term dates.

2.2  Students are automatically re enrolled into the following term unless written notice of withdrawal is received by the Academy before the published withdrawal deadline. This deadline will be communicated in advance via email and published on the Academy’s website.

2.3  Failure to provide written notice of withdrawal before the deadline does not remove your liability for fees for the following term.

2.4  Cancellation of a Direct Debit mandate does not constitute notice of withdrawal and does not end your obligation to pay fees due. If your Direct Debit is cancelled without written withdrawal notice,
the outstanding term fees remain payable in full.

3. Fees & Payment

3.1  Direct Debit via GoCardless is the only
accepted payment method for ongoing term enrolments. An active Direct Debit
mandate is required to secure and maintain a student’s place.

3.2  Fees are collected on a termly basis by default, before each term begins. The collection date will be stated on your invoice.

3.3  Monthly instalments are available on request. These must be requested before the published deadline for the relevant term. Monthly instalments spread the cost of the term into equal payments — they do not reduce the total amount owed, and they do not change the nature of the
commitment. You remain liable for the full term’s fees regardless of the payment schedule chosen. If your Direct Debit mandate is cancelled while monthly instalments are in progress, the full remaining balance for the term
becomes immediately due and payable.

3.4  Annual payment is available on request for families wishing to pay for the full academic year in one payment.

3.5  Fees are calculated based on the number of sessions in each term.

3.6  Fees are non-refundable except as set out in Section 6.

4. Securing Your Child’s Place

4.1  A student’s place is only confirmed once:

•      Written enrolment has been completed; and

•      An active GoCardless Direct Debit mandate is in place.

 

4.2  The Academy reserves the right to release an unconfirmed place if a Direct Debit mandate is not set up by the stated deadline on the invoice.

5. Withdrawal & Cancellation

5.1  To withdraw your child from the Academy, you must notify us in writing by email before the published withdrawal deadline for the relevant term. This deadline will be communicated via email and published on the Academy’s website.

5.2  If notice is given after the deadline, or not given at all, you remain liable for fees for the following full term.

5.3  Mid-term withdrawal does not entitle you to a refund of fees already paid or due, except in the circumstances set out in Section 6.

5.4  As a reminder: cancelling your GoCardless Direct Debit is not the same as giving notice of withdrawal. You must contact the Academy directly. Unpaid fees following Direct Debit cancellation will remain due and may be pursued as a debt.

6. Refunds & Exceptions

6.1  Fees are not refundable for missed classes due to holidays, minor illness, or personal circumstances.

6.2  In the event of a long-term medical condition preventing attendance (supported by a doctor’s letter), the Academy may, at its discretion, offer a credit, transfer, or partial refund.

6.3  If the Academy cancels a class, an equivalent makeup session will be offered or the relevant fee will be credited against the following term.

6.4  If the Academy is unable to deliver classes due to circumstances beyond its reasonable control (force majeure), it will
endeavour to offer alternative or rescheduled sessions. Fees will not
automatically be refunded in such circumstances.

7. Late Payment

7.1  Where fees remain unpaid after the due date, the Academy reserves the right to:

•      Suspend the student’s place pending payment;

•      Charge interest on overdue amounts at 8% above the Bank of England base rate; and/or

•      Refer the debt to a third-party debt recovery service.

 

7.2  The Academy will always attempt to contact you before taking any of the above steps.

8. Changes to Classes & Timetable

8.1  The Academy reserves the right to make reasonable changes to the timetable, class times, venues, or teaching staff. Parents will be given reasonable notice of any material changes.

8.2  If a class is discontinued entirely, affected families will be offered an alternative or a pro-rata credit.

9. Student Conduct & Academy Rights

9.1  The Academy reserves the right to withdraw a student’s place where continued attendance is deemed inappropriate, unsafe, or contrary to the Academy’s values and code of conduct. In such cases, any fees paid for future sessions will be refunded on a pro-rata basis.

10. Changes to These Terms

10.1  The Academy may update these Terms & Conditions from time to time. Parents will be notified of any material changes by email with reasonable notice before they take effect.

11. Complaints

11.1  If you have a concern or complaint, please contact us in writing at info@dakodasdanceacademy.com. We will acknowledge your complaint within 5 working days and aim to resolve it within 21 days.

12. Governing Law

12.1  These terms are governed by the laws of England and Wales. Any disputes will be subject to the jurisdiction of the
English courts.
